Manual Deal Onboarding

Start a deal without waiting for online contact

This guide explains how to manually create a client deal when the client contacts you in person, by phone, or through referral - without waiting for an online form submission.

When to use manual onboarding

Manual onboarding is ideal for several scenarios where the client doesn't go through the online contact form.

  • In-person meetings: When a client walks into the agency office
  • Phone inquiries: When a client calls and provides information
  • Referrals: When a client is referred by another agent or partner
  • Existing relationships: When you already have a relationship with the client

Tip: Don't wait for clients to fill out online forms if they're already in front of you.

Navigate to the new mandate page

Go to Dashboard → Mandates → New Mandate (or use the '+' button).

  • URL: /dashboard/mandates/new
  • You can also access this from the quick actions on the dashboard

Select onboarding mode

Choose between Online and Direct Entry modes based on your situation.

  • Online Mode: Client will complete forms online after initial setup
  • Direct Entry: Enter all data directly for in-person meetings

Tip: Use Direct Entry when you have complete information; use Online Mode for partial information.

Select or create CRM contact

Link the deal to an existing contact or create a new one.

  • Search for existing contacts by name, email, or phone
  • Create a new contact with required name and optional email/phone
  • The system warns about potential duplicate contacts

Tip: Always check for duplicates before creating a new contact.

Enter client and property details

Fill in the relevant information based on your chosen mode.

  • For Online Mode: Basic contact info (name, email)
  • For Direct Entry: Full client details and property information
  • Property info includes: type, rooms, area (m²), price

Start the onboarding process

Click 'Start Onboarding' to create all necessary records.

  • Creates a CRM contact (if new)
  • Creates an AgencyContact room with 'in_progress' status
  • Creates a mandate in 'draft' status
  • Sets source as 'manual_online' or 'manual_direct'

Continue in the contact room

You're redirected to the AgencyContact room to complete the process.

  • Configure commission terms (percentage or fixed)
  • Negotiate terms with the client
  • Share or complete the seller form
  • Upload signed mandate and documents
  • Validate mandate when ready

Tip: An info banner shows how the client was onboarded.
