Client & Mandate Onboarding

Complete guide to start a client mandate

This guide walks you through the process of creating a mandate, whether your client is present in person or completing forms online.

Choose the onboarding mode

Navigate to Dashboard → Mandates → New Mandate and select the appropriate mode.

  • Online Mode: The client will complete forms online via the contact room
  • Direct Mode: You enter all information for an in-person client

Tip: Use Direct Mode if you have all client information in front of you.

Select the mandate type

Choose the type of mandate based on the client's needs.

  • Exclusive Sale: To sell a property
  • Exclusive Rental: To rent out a property
  • Search Mandate: To find a property for a buyer or tenant

Create or select the contact

Associate an existing CRM contact or create a new one.

  • Use an existing contact if the client is already in your CRM
  • Create a new contact with minimal information (name required)

Tip: The system will warn you if a contact with the same email already exists.

Enter client information

Fill in the contact details and property information according to the chosen mode.

  • Online Mode: Email and name are sufficient to start
  • Direct Mode: Complete client and property information required

Start the onboarding

Click 'Start Onboarding' to create the mandate and contact room.

  • A CRM contact is created automatically (if new)
  • An AgencyContact room is created
  • A mandate in 'draft' status is generated

Continue in the contact room

You are redirected to the contact room to finalize the process.

  • Configure commission terms and exclusivity
  • Negotiate conditions with the client
  • Share the seller form to collect information
  • Upload signed documents
  • Validate the mandate to create the listing

Tip: A blue banner indicates if the client was onboarded in person or manually.
